Getting started
What is Keen Owner?
Keen Owner is a home management app that keeps track of your receipts, warranties, and maintenance schedule in one place. When something breaks, you can find the receipt and warranty info in seconds instead of searching through drawers, email, or your camera roll.
Who is Keen Owner for?
Keen Owner is built for two audiences: homeowners who want to protect their investment and stay on top of maintenance, and short-term rental hosts (Airbnb, VRBO) who need to track expenses, manage vendors, and generate tax reports. Both can start free.
Is there a free plan?
Yes. The Free plan is free forever with no credit card required. You get 1 property, up to 50 items, warranty expiration alerts, and maintenance reminders. Paid plans start at $6/month.
Does it work on mobile?
Yes. Keen Owner works on web, iOS, and Android. The iOS and Android apps are free in the App Store and Google Play.
Receipts & warranties
How do I add receipts?
Snap a photo of any receipt with your phone. Keen Owner reads the store name, date, and amount automatically using OCR. You can also type entries manually or upload receipt images from your photo library.
How do warranty alerts work?
When you add an item, enter the warranty expiration date. Keen Owner sends you a reminder 30 days before the warranty expires so you have time to file a claim — with your receipt photo already attached.
Can I track both manufacturer and extended warranties?
Yes. You can track multiple warranty periods per item — the original manufacturer warranty, any extended warranty you purchased, and home warranty coverage.
What if I don't have the original receipt?
You can still add items without a receipt. You can enter the item details manually and add a photo of the item itself. The receipt is most valuable for warranty claims, so we recommend adding it whenever possible.
Maintenance
How do maintenance reminders work?
You set up recurring tasks (like 'Change HVAC filter every 3 months') and Keen Owner sends you reminders on the schedule you choose. You can also sync with Google Calendar so maintenance items show up alongside your other events.
Does Keen Owner come with maintenance templates?
Yes. Keen Owner includes seasonal maintenance templates covering common home tasks — HVAC filters, gutter cleaning, smoke detector tests, water heater flushes, and more. You can use them as-is or customize them for your home.
How it compares
How is this different from a spreadsheet?
Spreadsheets are great for static data but break for anything time-sensitive. A spreadsheet can't send you an alert 30 days before your dishwasher warranty expires, store a photo of your receipt, or remind you to change the HVAC filter. Keen Owner does all of that automatically.
How is this different from Google Drive or Dropbox?
Cloud storage is just a file cabinet — it holds your documents but doesn't do anything with them. Keen Owner understands what you're storing: it knows a receipt belongs to an item, that item has a warranty, and that warranty expires on a certain date. It then acts on that information by sending you alerts before it's too late.
How is Keen Owner different from HomeZada?
HomeZada is comprehensive but designed for desktop and tends to be complex to set up and use daily. Keen Owner focuses on the three jobs homeowners actually need done most: finding receipts fast, catching warranty expirations in advance, and staying on top of maintenance. It's also free to start and costs less.
I already use Hostfully or Guesty for my rental. Do I need Keen Owner too?
Those tools manage bookings and guests. Keen Owner manages your physical assets — the furniture, appliances, warranties, and maintenance schedule for your property. It also tracks expenses, mileage, and generates Schedule E tax reports. They solve different problems.
Short-term rentals
What STR-specific features does Keen Owner have?
The STR plan includes expense and mileage tracking, Schedule E tax reports, booking management, vendor and work order management, and multi-property dashboards. It's built for Airbnb and VRBO hosts who want to run their rentals like a real business and save money at tax time.
Can I export everything for my CPA?
Yes. The STR plan generates Schedule E reports with income, deductions, depreciation, and mileage organized by tax category. Export directly to share with your accountant.
How much can I actually save on taxes?
Most STR hosts miss deductions for depreciation, supplies, mileage, and home office expenses. Keen Owner catches them by keeping records throughout the year. The STR plan pays for itself the first tax season.
Data & privacy
What happens to my data if I cancel?
Your data is yours. Export everything before canceling — photos, documents, purchase records, maintenance history. No lock-in, no games.
Is my data secure?
Yes. All data is encrypted in transit and at rest. We use Supabase (built on AWS) for secure storage and never sell your data to third parties.
Can I share access with my partner or property manager?
Yes. The Home plan supports up to 5 household members and the STR plan supports up to 15 team members. Everyone shares the same property records and can add or update items.
